Fresha built its reputation as the salon software that cost nothing. That changed in 2025, when it dropped its free tier for good - every business now pays a subscription, whether or not they ever use the marketplace. Layer on the marketplace’s 20% new-client commission and a payment-processing fee on every card transaction, and the “0% commission” headline only ever described one slice of the real bill.
This walkthrough is the playbook for switching. Most of the steps happen in parallel with Fresha still running; the cutover is a single link update.

What migrates (and what doesn’t)
Migrates to Rexabook:
- Service catalogue (names, durations, prices)
- Client list (names, phone numbers, email addresses, notes)
- Working hours
- Staff roster and per-staff pricing
- Cancellation policy text (paste it into the new profile)
Stays where it is:
- Fresha reviews - these live on Fresha’s marketplace. They don’t transfer. You start fresh on Rexabook reviews (or import your Google Reviews via the Profile settings, which is one tap).
- Fresha marketplace ranking - your Fresha listing is independent of Rexabook. If the marketplace is a meaningful new-client source for you, keep the Fresha profile live for a month after cutover and gradually wind it down - just remember every new client who books through it during that month still costs the 20% commission.
Step 1 - Export your Fresha data
In the Fresha Partner dashboard: Clients → Options → Export → CSV. Fresha flags any duplicate client profiles first - worth clicking Review & merge before you export, so you’re not importing the same client twice into Rexabook.
The export includes client names, emails, phone numbers, and any notes you’ve stored. Card details never export - Fresha keeps those PCI-encrypted and non-transferable, which is normal and true of every platform, Rexabook included.
Step 2 - Sign up for Rexabook and import services
At app.rexabook.com/register, sign up and complete the setup wizard. At the services step, paste your Fresha profile URL into “Import from a URL or screenshot” - Rexabook’s AI extracts every service, price, and duration from your live Fresha page. Verify the list and adjust anything it got wrong (rare, but the wizard is a confirmation step, not a fire-and-forget).
If you have services that aren’t on your public Fresha page, paste a plain-English list into the chat (“Skin Fade 30 min £25, Beard Trim 20 min £15…”) and the AI parses it the same way.
Step 3 - Import your client list
In the dashboard, Clients → Import → Upload CSV. Drag in the CSV from Step 1. Rexabook auto-detects the Fresha format, normalises phone numbers (07xxx → +614xxx), deduplicates against existing clients, and imports in seconds.
Step 4 - Set your working hours and staff
Working hours: Dashboard → Hours & Time off. Defaults to Mon-Fri 9-5; click each day to expand and edit.
Staff: Staff → Add team member. If you’re a solo trader, skip this - and unlike Fresha’s Team plan, adding your first extra team member on Rexabook’s Free plan doesn’t start a per-seat bill.
Per-staff pricing variants (e.g. Senior Stylist $85, Junior Stylist $48 for the same haircut) are under Staff → [member] → Service Variants. Rexabook auto-detects when a single service has different prices for different staff and lets you model it.
Step 5 - Run both systems in parallel for a week
For the first 7 days, keep Fresha live. Your Fresha clients will continue to book through Fresha; your Rexabook clients will book through the new link. You’re double-handling, but you’re also stress-testing Rexabook without risk.
The signal to cut over: you’ve had 5-10 bookings come in through Rexabook without any client confusion or missed appointment. Usually 3-5 days is enough.
Step 6 - Cut over
Update the booking link in your:
- Instagram bio
- Google Business Profile
- Email signature
- Any printed materials (business cards, posters)
All point to your Rexabook link: https://<your-slug>.rexabook.com/book (replace <your-slug> with your actual booking slug).
Cancel your Fresha subscription once you’re confident in the switch. You can keep the Fresha profile live for marketplace traffic if it’s still bringing in clients worth the 20% commission, or close it entirely.
The financial comparison
Fresha’s real cost has three layers, all mandatory since the 2025 change:
- Subscription - from $19/staff/month on the Team plan (or a flat $28/month if you’re solo on the single-calendar Independent plan) - there’s no free tier any more.
- Marketplace commission - 20% of the booking value on any new client who books through Fresha’s marketplace (minimum £5), every time, for as long as they’re “new.”
- Payment processing - a fee of roughly 2-3% on every card transaction, on top of both of the above.
For a 2-person salon on the Team plan, that’s $38/month in subscription before a single booking happens. If even 10 new clients a month come through the marketplace at an average $75 service, that’s another $150/month in commission - and the processing fee stacks on everything after that.
Rexabook’s Free plan has none of it: your whole team is included, uncapped, at no subscription cost - your client covers a small booking fee instead, and there’s no marketplace commission because there’s no marketplace. If you’d rather your clients not see a booking fee, Base is a flat $29/month with 0% commission, full stop, regardless of how a client found you.
Common gotchas
Q: What happens to my Fresha reviews? A: They stay on Fresha. You start fresh on Rexabook. If you have Google Reviews, import those via Profile → Google Business Profile.
Q: Will my clients know I’ve switched?
A: Only if you tell them. The booking page is yours (<slug>.rexabook.com) and email confirmations come from your business, not from Rexabook.
Q: Do I lose marketplace-driven new clients by leaving? A: You lose discovery through Fresha’s marketplace specifically - but you also stop paying 20% commission on every new client who found you there. Rexabook’s AI Receptionist, local SEO tooling, and your own social/Google Business links become your discovery channels instead.
Q: Do I need to cancel Fresha immediately? A: No. Run the parallel week first (Step 5), and only cancel once you’re confident. Fresha’s subscription is billed monthly, so there’s no long lock-in either way.
