Every booking tool assumes one appointment means one client in one chair. That’s true for a haircut. It isn’t true for a yoga class, a pottery workshop, or a toddler group - and traders running those alongside their one-to-one work have mostly been left to hack it: capping a “service” at one spot and cloning it twelve times, or taking names in a group chat and counting heads by hand. The tools built properly for classes exist, but they’re their own product - their own login, their own bill, their own booking page, separate from wherever you already send clients for everything else.

Rexabook now does both from the same place. Group Bookings track capacity for a whole session - “Yoga, Mon 6pm, 12 spots” - the same way the rest of the platform tracks a single appointment, on the same booking page, included on every plan.

What’s new

  • Class-capable services. Turn any service into one with a shared session and a capacity, instead of one client per slot.
  • Scheduled sessions, not grid-generated ones. You choose which sessions exist - “Tuesday 6pm,” “Thursday 6pm” - rather than every theoretically possible slot showing as bookable.
  • Live seat tracking. Each booking claims one seat; the session simply drops off the booking page once it’s full. No overbooking, no manual headcount.
  • Cancellations reopen the seat automatically. A client cancelling a class booking frees their seat straight back onto the booking page for whoever’s next - nothing to undo by hand.
  • Staff can run their own sessions too. Through the Staff Portal, a staff member can schedule, edit, and manage their own class sessions - and any staff member can book a client into a colleague’s session, not just their own.
  • Everything else works exactly like a normal booking. Payments, deposits, reminders, no-show handling, cancel and reschedule - an attendee in a class is a completely ordinary booking under the hood, so nothing downstream needed rebuilding for group bookings to work.

Who it’s for

Anything run for a room rather than a chair: fitness classes, yoga and pilates, dance and kids’ activity groups, workshops (pottery, craft, cookery) - any session where one time slot serves several people instead of one. It’s the same capacity tracking a personal trainer running small-group sessions needs. If you’ve been keeping a class register on paper, or bolted a “1 spot per booking” workaround onto an appointment tool, this replaces it.

How it works, end to end

  1. Mark the service class-capable. In Services, set a capacity - the number of people one session can hold.
  2. Schedule a session. Pick a date, time, and staff member (if you have one) from the service’s Sessions panel. Each session snapshots the offering’s capacity at that moment - you can lower it afterward, but never below however many people have already booked in.
  3. It appears on your booking page like any other option. Clients pick the session the same way they’d pick a time slot, and claim one of the remaining seats.
  4. The session closes itself. Once every seat’s booked, it simply stops appearing as available - there’s no capacity math for you to track.
  5. Cancel and reschedule work as normal. A cancelled seat reopens on the session automatically; nothing needs re-syncing.

What goes wrong

  • Forgetting to schedule a session. Sessions don’t appear on the calendar automatically the way ordinary appointment slots do - a class-capable service with no session scheduled has nothing bookable at all, even inside your working hours. If a class isn’t showing up for clients, check whether anyone actually scheduled it.
  • Capacity that doesn’t match the room. Rexabook enforces whatever number you set - it has no idea how many mats or chairs you actually have, so set it to the real limit, not a guess.
  • Assuming a cancelled seat needs manual reopening. It doesn’t - the seat count corrects itself the moment the cancellation lands, so there’s nothing to double check.
